Wenonah is committed to keeping the personal information (including personal health information) of campers, families, clients, and staff accurate, confidential, secure and private, and to meeting the terms and spirit of applicable legislation.
The Owner/Founder designates a Privacy Officer from among its year-round management team to:
Wenonah controls the collection and distribution of personal information. Wenonah protects information by way of a contract or other means when transferring personal information to a third party for processing (i.e., the CampBrain data management system). Wenonah uses physical, electronic, and procedural safeguards to protect systems and all personal information under control against unauthorized access and use. All safety and security measures are appropriate to the sensitivity level of the information collected.
Wenonah hires health professionals such as nurses, nurse practitioners and physicians who act as health information custodians for the purposes of the Personal Health Information Protection Act.
Wenonah only collects personal information to fulfill identified purposes or as required by law.
Wenonah collects information about Wenonah Outdoors participants, campers, staff and families to provide the best and safest Summer Camp and Wenonah Outdoors experiences. Personal information allows Wenonah to ensure the safety and welfare of the children in care. Wenonah uses personal information to share updates with families and clients about news and other events. Wenonah also uses personal information for business analysis, and to provide statements of account to families when requested.

Wenonah may also collect other personal information orally or electronically throughout the year to support these purposes. Wenonah may obtain express consent to use personal information or may determine that consent has been implied by the circumstances. Consent could be in writing such as: signed application form, signed health form, submitted e-forms online, or verbally in person or over the telephone.
Providing Wenonah with personal information is always optional. Doing so implies consent to the collection, use and disclosure to appropriate third parties of such personal information for these purposes.
Only those staff members whose job functions or responsibilities require personal information have access to that information.
Wenonah does not sell, lease, or barter personal information.
Wenonah notifies anyone whose personal and confidential information is stolen, lost, or accessed by unauthorized individuals, and reports to appropriate authorities such as the Privacy Commissioner as required.
Wenonah retains personal information as long as needed to fulfill the identified purposes or as required by law, whichever is longer. When the information is no longer required, Wenonah uses proper and reasonable methods of destroying information.
All parties have the right to access, verify and amend the information Wenonah has. Wenonah relies on individuals to be informed of any changes, such as changes of address, phone number, email address, the health of children or anything else. Wenonah encourages parties to contact info@campwenonah.com regarding any changes.
On written request to the Privacy Officer, Wenonah informs a requestor of the existence, use and disclosure of their personal information that is under Wenonah’s control, and may give access to that personal information as required and permitted by law. Any party may challenge the accuracy and completeness of that personal information and request that it be amended, if appropriate.
Any party may make a complaint to Wenonah’s Privacy Officer who investigates and provides a written response within required timelines. They may also file a complaint with the Information and Privacy Commissioner of Ontario at 1-800-387-0073.
If Wenonah changes any part of this policy, Wenonah posts those changes to the website(s) and in any other place deemed appropriate, so that parties are always aware of what information Wenonah collects, how it is used and under what circumstances, if any, it is disclosed.
Wenonah provides all staff members with training that reviews protocols and expectations around the use and protection of personal and confidential information.
Failure of staff to abide with and uphold this policy may be grounds for consequences as outlined in the Staff Code of Conduct.
